The short version
- We collect what we need to run your account and your bookings: your name, email, phone number, booking details and the messages you send.
- The property you book receives the details it needs to host you. We do not sell your personal information.
- You pay the property directly. We never see or store your card details.
- You can see, correct and delete your account from the app. Some booking and payment records are kept because hotels and the law require them.
1Who we are
Booking Sathi (“Booking Sathi”, “we”, “us”) is an online marketplace, based in Nepal, that connects travellers with hotels, homestays, resorts, lodges and other places to stay in Nepal. We operate the website at bookingsathi.com, the Booking Sathi mobile apps and the partner tools that properties use to manage their listings (together, the “Service”).
Booking Sathi is responsible for the personal information processed through the Service as described in this policy. A property you book is separately responsible for the information it receives and keeps for your stay, including any guest register it must keep by law.
2Information we collect
Information you give us
- Account details: your name, email address, phone number and, if you add one, a profile photo. We sign you in with a one-time code sent to your email, so we do not ask you to create a password.
- Sign-in with Google, Apple or Facebook: if you choose one of these, that provider shares your name, email address and an account identifier with us. We do not receive your password for those services.
- Booking details: the property, rooms, dates, number of guests, the lead guest’s name and contact details, your expected arrival time and any special requests.
- Messages: what you write to properties before or after a booking, and to our support team.
- Reviews and reports: reviews and ratings you post, and reports you send us about listings, messages or guest conduct.
- Saved items and alerts: stays you save, wishlists and price alerts you set.
Information from properties and partners
- If you list a property, we collect your business details (such as business name, PAN or VAT number and address), property details, photos, staff accounts you invite, the documents you upload to verify the property and its ownership, and the bank or wallet details you give us for payouts.
- Properties may record details about your stay, such as check-in and check-out, no-shows and, where Nepal law requires it, the identity document details of guests in their guest register.
Information collected automatically
- Activity in the Service: searches you run, stays you open and recently viewed, and how you use features such as filters and promotions. This helps us show relevant results and keep the Service working.
- Device and technical data: IP address, browser or device type, operating system, language and time zone, and technical logs our hosting providers record to keep the Service secure and reliable.
- Location: only if you allow it. See Location.
3How we use your information
| Purpose | Examples |
|---|---|
| Provide the Service | Create and secure your account, show stays and prices, make and manage bookings, send confirmations and booking updates. |
| Connect you with properties | Pass your booking and contact details to the property, deliver messages between you, and handle booking requests and changes. |
| Support and safety | Answer your questions, resolve disputes, review reports, prevent fraud, misuse and payments outside the platform, and enforce our Terms. |
| Personalisation | Recommend stays based on your bookings, saved stays and searches, if personalisation is turned on. You can turn it off in Settings. |
| Rewards and promotions | Apply discount codes, referral rewards and reward credit, and check that offers are used fairly. |
| Partners’ business | Verify properties, calculate commission, prepare statements and payouts, and keep financial records. |
| Legal obligations | Keep tax and accounting records and respond to lawful requests from authorities. |
| Improve the Service | Understand which features work, fix problems and plan improvements, using aggregated information where possible. |
We use your information because you have asked us to provide the Service, because you have given consent (for example to location or personalisation), because we have a legitimate interest in running a safe and reliable marketplace, or because the law requires it.
We send service messages, such as sign-in codes and booking updates, to your email and in the app. We will only send marketing messages if you have agreed to receive them, and you can stop them at any time.
5Payments
At present you pay for your stay directly to the property, at the property. Booking Sathi does not collect, see or store your card or wallet details. If we add online payment through providers such as Khalti or eSewa, those providers will process your payment details under their own privacy policies, and we will update this policy before that happens.
For partners, we keep the payout details you provide and the records of commission, statements and payouts we make to you.
7Location
If you allow it, the Service uses your device’s location to show stays near you and distances to places. You can refuse or turn off location access at any time in your browser or device settings; you can still search by typing a place. Properties may use device location to place their property on the map when they set up a listing.
8Where your information is stored
Our database and files are hosted by Supabase in a data centre in Mumbai, India, and our website is served through Cloudflare’s global network. This means your information may be stored or processed outside Nepal. We choose providers that protect it with appropriate security and contractual safeguards.
9How long we keep it
- Your account is kept until you delete it or ask us to close it.
- When you delete your account, we delete your profile, saved stays, wishlists, search history, recently viewed, personalisation data, notifications, price alerts and reward wallet. Unused reward credit is lost.
- Bookings and financial records are kept after you delete your account because properties and the law (for example tax and accounting rules) require them. We remove your name and contact details from those records and replace them with “Deleted guest”. Reviews you wrote stay published without your name.
- A property’s own records, such as its legally required guest register, are kept by the property for as long as the law requires.
- Technical logs are kept for a short period for security and troubleshooting.
You cannot delete your account while you have an upcoming stay or a stay in progress; cancel or finish it first. Accounts that manage a property, and staff accounts, are closed by our support team.
10Your choices and rights
Subject to applicable law, including Nepal’s Individual Privacy Act, 2075 (2018), you can:
- See and correct your account details in Profile, and ask us for a copy of the personal information we hold about you.
- Delete your account in Settings, or ask us to do it.
- Turn off personalisation in Settings, and refuse location access.
- Withdraw consent you have given, without affecting what we did before.
- Object to how we use your information, or ask us to limit it.
- Complain to us, and if you are not satisfied, to the relevant authority in Nepal.
To make a request, email privacy@bookingsathi.com. We may ask you to confirm your identity first, and we will reply within 30 days.
11Security
We protect your information with encryption in transit (HTTPS), access controls that limit each person to the data they need, one-time-code sign-in, two-step verification for our staff, and audit records of staff actions. No system is completely secure, so please keep your email account safe and never share a sign-in code. Booking Sathi and properties will never ask you for a sign-in code or password.
12Children
You must be at least 18 years old to create an account or make a booking. Children can stay as guests on a booking made by an adult, who is responsible for the information they give about them. We do not knowingly collect personal information directly from children. If you think a child has given us personal information, please contact us and we will delete it.
13Changes to this policy
We may update this policy as the Service changes or the law changes. We will change the date at the top, and if the changes are significant we will tell you in the app or by email before they take effect.
